Auto repair shop cash flow: how to manage it
The shop had a good month, but the following week there is not enough money to pay the supplier. This happens because revenue and cash on hand do not move together: the customer pays by card and the money lands days later, while rent is due on a fixed date. Auto repair shop cash flow is the tool that anticipates these gaps. It organizes what comes in and what goes out, supports your entire financial management and reveals unnecessary costs. Here is how to do it.
Good practices for reliable cash flow
Record every transaction
Cash flow only works if everything is written down: every inflow and outflow, however small. Small forgotten expenses add up by the end of the month.
Keep personal and shop finances apart
Using the shop's money for personal expenses makes cash look bigger or smaller than it really is. The result is taking on commitments the business cannot pay later.
Review it often
Cash flow updated only now and then does not help with control. Ideally, update it daily and review it at the end of each month. If you are unsure when to record each amount, see the difference between cash and accrual accounting.
Step by step: a 30-day cash flow
Set the opening balance
Start by identifying the balance on day one. Add the cash available at the shop, the balance in the business bank accounts and any investments you can withdraw immediately. That is your opening balance.
Enter scheduled expenses
Next, record fixed expenses, the ones that repeat every month and are essential to operations:
- rent
- water
- electricity
- employee wages.
Add scheduled income
Cash flow also includes payments you already expect, such as credit card sales. Enter each amount only on the day it actually reaches your account, which can be up to 30 days after the sale depending on the card processor and payment type. With inflows and outflows placed on the calendar, you can see which days cash will get tight and plan ahead.
